This Privacy Policy explains how personal information is collected, used, stored and protected when you visit our website, book services, purchase products, complete the manifestation quiz, subscribe to my newsletter or otherwise interact with Ajnaia.

We are responsible for deciding how and why personal information is processed in connection with Ajnaia.

We process personal information in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR), Data Protection Act 2018 and Privacy and Electronic Communications Regulations (PECR), as amended.

The purposes and relevant lawful bases for processing personal information include:

Booking, administering and delivering Tarot Readings, Energy Healing, coaching, courses and digital products.

Processing orders and payments — Performance of a contract

Managing purchases, payment confirmations, appointment bookings and gift card redemption.

For Energy Healing intake information, Ajnaia intends to rely on explicit consent for processing relevant health information, alongside an appropriate Article 6 lawful basis.

5. Tarot Reading Information

For personalised recorded Tarot Readings, clients may submit questions and relevant background information through Wix booking forms.

This information is used to prepare and deliver the requested reading.

Once a recording has been completed and sent to the client, we delete our working copy of the recording and the associated email containing the client's questions.

Recordings are delivered through TransferNow, with download links normally available for seven days.

TransferNow may retain files for the applicable transfer period under its service arrangements.

We do not maintain a separate ongoing archive of clients' tarot questions or recordings.

Booking, form submission and transaction information held by Wix may be retained separately for legitimate operational or legal purposes.

Information supplied for a tarot reading is not used for marketing without an appropriate legal basis or disclosed publicly without permission.

6. Energy Healing Information

Before an Energy Healing session, clients may be asked to complete a confidential intake form.

This may include information about:

Emotional wellbeing.
Mental health history.
Physical aches or discomfort.
Other relevant concerns voluntarily disclosed by the client.

The information helps us to understand the client's circumstances and prepare for their healing session.

Clients submit their completed forms by email.

Where explicit consent is relied upon for processing health information, clients are asked to provide a clear written confirmation of that consent.

The completed form and relevant information may be retained for returning clients to support continuity of service.

Retention period: Energy Healing intake forms and related notes are retained for up to 12 months after the client's most recent Energy Healing session, unless a longer period is required by law or reasonably necessary for a documented purpose.

After that period, the information is securely deleted.

Energy Healing sessions are not recorded.

Clients may withdraw consent to processing based on consent by contacting me. Withdrawal does not affect processing lawfully carried out before withdrawal, but may affect my ability to provide services requiring the information.

7. Individual Coaching Records

Although Ajnaia is moving towards group coaching, seminars and workshops, historical individual coaching records may still be retained.

Coaching notes

Confidential individual coaching notes may be maintained to support the coaching process and monitor progress.

These are retained for up to 12 months after the final completed session or agreed programme end date, whichever is later, unless a longer retention period is lawfully necessary.

Coaching recordings

Individual coaching sessions may be recorded and hosted on a separate business YouTube account using unlisted video links.

Ajnaia shares these links only with the relevant client and does not deliberately distribute client recordings to other clients or the public.

Unlisted YouTube videos do not ordinarily appear in public search results. However, anyone who obtains a valid link may be able to view or share the recording.

YouTube, operated by Google, provides the hosting infrastructure and processes information in accordance with applicable contractual arrangements and privacy obligations.

Clients are informed of recording arrangements before recording takes place, and appropriate agreement is obtained.

Retention period: Individual coaching recordings are normally retained for up to 12 months after the final completed session or agreed programme end date, whichever is later.

Existing clients will be given reasonable notice before changes to previously agreed recording access arrangements or deletion of older recordings.

Financial and transaction records are managed separately and may be retained for longer periods where legally required.

8. Group Coaching, Seminars and Workshops

Ajnaia intends to offer more group coaching programmes, seminars, webinars and workshops.

Participants are generally responsible for maintaining their own personal notes.

Ajnaia does not routinely create individual coaching notes for group participants.

Where a session is recorded, participants will be informed in advance about:

Whether recording will take place.
What the recording will include.
How recordings will be used.
Who may access them.
How long access and retention will continue.

Separate recording arrangements may apply to different programmes and will be communicated before participation.

Participants are expected to respect the privacy of others and not disclose personal information shared during group sessions without appropriate permission.

However, Ajnaia cannot guarantee the conduct of independent participants.

9. Manifestation Quiz and Email Marketing

Visitors may complete the free Manifestation Block Quiz by providing their name and email address.

This information is used to administer the quiz and provide the related experience.

The quiz also offers a separate, optional newsletter subscription checkbox.

Newsletter subscription is not a requirement for completing the quiz.

Visitors who actively opt in may be added to the Ajnaia marketing audience managed through Mailchimp.

Visitors who do not opt in will not be subscribed to marketing solely because they completed the quiz.

Marketing communications may include:

Spirituality, tarot and manifestation insights.
Blog updates and new content.
Service and product announcements.
Workshops, seminars and events.
Occasional promotional offers.

Mailchimp may process subscriber information, marketing preferences and email engagement information to provide email marketing services.

Unsubscribing from marketing does not prevent essential communications about existing bookings, purchases or services.

Where marketing relies on consent, appropriate records of that consent will be retained for accountability.

10. Bookings, Payments and Financial Records

Ajnaia uses Wix to manage website bookings, purchases, payment information, gift cards and associated customer records.

Payment transactions may be processed by Wix Payments or other payment providers available at checkout.

Ajnaia receives information necessary to administer transactions, such as order references, payment status and relevant billing details.

Payment card information is handled by the relevant payment provider.

Invoices and necessary financial records are retained separately by Ambila Nath for accounting and tax purposes.

Where HMRC's Self Assessment record-keeping rules apply, relevant financial records are generally retained for at least five years after the 31 January submission deadline for the tax year concerned. Different requirements may apply in particular circumstances.

Customer booking records and service notes are subject to their respective retention arrangements and any overriding legal obligations.

11. Tarot & Healing eGift Cards

When an eGift Card is purchased, Ajnaia may collect and process:

Purchaser's contact details.
Recipient's name and email address.
Personal gift message.
Gift card amount.
Delivery instructions.
Redemption and balance information.
Expiration details and transaction history.

This information is used to issue and deliver the eGift Card, administer its balance, process redemptions and send relevant transactional reminders.

Receiving an eGift Card does not automatically enrol the recipient in Ajnaia's marketing newsletter.

Gift card records may be retained where necessary for customer service, transaction administration, financial reporting and legal compliance.

12. Third-Party Service Providers

Ajnaia uses external platforms and service providers to operate its business.

These include, where applicable:

Wix — Website hosting, online bookings, customer records, orders, payments and gift cards.

Mailchimp — Email newsletters, marketing audiences and subscriber preferences.

TransferNow — Delivery of recorded Tarot Readings.

Google and YouTube — Business communications, scheduling and hosting certain coaching recordings.

Payment providers — Processing financial transactions.

Other service providers may be used for course delivery, events, website analytics or business administration.

Providers receive or process information necessary for their respective services, under applicable contractual arrangements and legal obligations.

Ajnaia does not sell customers' personal information or private client records.

Information may also be disclosed where required by law, to appropriate professional advisers or where necessary to establish, exercise or defend legal claims.

13. International Transfers

Some service providers operate internationally and may process or store information outside the United Kingdom.

Where international transfers are subject to UK data protection restrictions, appropriate legal safeguards are required.

These may include UK adequacy regulations, approved contractual safeguards or other recognised transfer mechanisms.

14. Data Retention

Ajnaia does not retain all personal information indefinitely.

Retention depends on the purpose for which the information was collected and any applicable legal obligations.

Service-specific retention arrangements

Tarot recordings and working emails: Deleted after delivery.
TransferNow recordings: Normally available through a seven-day download link, subject to provider arrangements.
Energy Healing intake forms: Up to 12 months after the client's last session.
Energy Healing recordings: None created.
Individual coaching notes: Up to 12 months after the final session or agreed programme end date, whichever is later.
Individual coaching recordings: Normally up to 12 months after the final session or agreed programme end date, whichever is later.
Group coaching notes: Participants ordinarily keep their own notes.
Group session recordings: Retention and access arrangements will be stated for the relevant programme.
Financial and tax records: Retained for applicable statutory periods.
Marketing records: Retained while there is an appropriate lawful basis, subject to review and any necessary suppression records.
Wix booking, form and transaction records: Retained for as long as needed for service administration, legitimate business purposes and applicable legal requirements.

Information is deleted or anonymised when it is no longer required, subject to lawful retention requirements.

15. Protecting Personal Information

We take reasonable technical and organisational measures to protect personal information from unauthorised access, disclosure, loss or misuse.

These measures include appropriate account security, access controls and the use of established service providers.

Private client records and communications are handled confidentially and accessed only where there is a legitimate business need.

No online service can guarantee absolute security, but I take reasonable steps to reduce foreseeable risks.
